BUILT BY ENGINEERS, FOR ENGINEERS

From RFQ to a signed offer,
in hours, not weeks.

XFlow is the AI quoting platform for industrial equipment manufacturers. Nine linked modules. One project state. Agents handle the engineering calculations, contract audit, cashflow modelling, and offer generation — so your team ships defensible proposals in a day.

  • Plate heat exchangers · pumps · valves · cooling towers · compressors
  • On-prem or private cloud — your data never leaves your tenant
  • 6-minute walkthrough — no slides, just the actual product

Built on frontier AI models

Orchestrated by purpose-built engineering agents leveraging Anthropic, OpenAI, and Google AI. Not a chatbot — domain-specific reasoning at every stage.

Engineered for industrial workflows

BOM, gantt, cashflow, T&Cs deviation sheet — built around the artefacts an industrial proposal actually contains. Not generic CPQ.

The problem

Quoting capital equipment is a multi-week effort spread across disconnected tools.

XFlow converges engineering, costing, scheduling, finance, and legal into one shared project state. Every detail that determines margin is reconciled before the offer reaches the customer.

01 · TIME

Minutes, not weeks

Selection, BOM, schedule, cashflow, and T&Cs all derive from one project state. Change a parameter and every downstream document re-derives automatically.

02 · MONEY

The financial picture, to the cent

Weekly cashflow, bonds, retention, financing cost on negative-liquidity weeks. EBIT and EBT modelled and defensible.

03 · SCHEDULE

A weekly Gantt, built end to end

Materials lead-times, fabrication, testing, packaging, and delivery combine into a single weekly plan with the critical path identified.

04 · RISK

Every clause read, every risk priced

Customer T&Cs reviewed across eight categories. Each deviation scored, each counter-reply pre-drafted, every risk priced into the contract value.

How it works

Nine stages. One pipeline. Zero re-keying.

A real RFQ arrives in your inbox. Here's the path it takes through XFlow before the signed offer goes back out.

Stage 06 · CONTRACT CASH FLOW the awe moment ↓

Price it

Ask AI to engineer a defensible price from the full cost build-up, payment terms, bonds, retention, and financing cost.

  • Live: Total Contract Value · Gross Margin · EBIT · EBT
  • Highest Negative Liquidity · weeks with negative liquidity > $100k

Look closer

Four stages, in product.

The five remaining stages are summarised above. These four are where the AI does its most visible work — strategic intelligence, equipment engineering, the awe-moment pricing, and the contract audit.

Stage 01 · TENDER & MARKET INTELLIGENCE

Before the quote, the bid/no-bid framework.

An AI agent reads the inbound RFQ, searches your full opportunity history for precedent, profiles the client, and surfaces the competitive landscape. Out comes a seven-section strategic brief — a defensible framework across every relevant metric — for you to make an informed GO, CONDITIONAL GO, or NO-GO call.

  • Client credit, payment history, and dealings to date — pulled from your own database
  • Application precedent: similar projects you've executed, won/lost outcomes
  • Regional context, capacity check, technical and commercial fit grading

Stage 03 · EQUIPMENT SELECTION

Engineering, not autocomplete.

Process parameters in — flow, duty, pressure, temperature, fluid, materials, design conditions. The selection engine sizes the equipment, picks the model from your catalogue, computes performance, and prices the unit. Heat exchangers, pumps, valves, cooling towers, compressors — your selection logic, audited and reproducible.

  • Process parameters: flow, duty, pressure, temperature, materials, design conditions
  • Engineered model · capacity · efficiency · footprint — sized and code-compliant

Stage 06 · CONTRACT CASH FLOW ANALYSIS

Ask AI to engineer a price.

This is where XFlow stops looking like software and starts looking like a senior commercial brain. The pricing agent calculates a defensible contract value from the full cost build-up, payment milestones, bonds, retention, and the financing cost on negative-liquidity weeks — a price engineered to hit your target gross margin while staying solvent. Every line item accounted for. Every assumption visible.

Stage 07 · T&Cs ANALYSIS

A 60-page contract, read in under four minutes.

Drop in the customer's T&Cs. The agents index every clause and answer eighteen standard questions across eight categories — liquidated damages, consequential damages, liability caps, warranty, arbitration, IP, insurance, termination — producing a risk score capped at 15%. Each deviation gets a counter-reply ready for the reply email and a reasoning trail your legal team can audit.

Why XFlow

Not a CRM. Not a CPQ.
A purpose-built proposal engine.

XFlow does what a CRM, a CPQ, and a spreadsheet together cannot: it runs the full engineering, commercial, and contractual stack from RFQ to signed offer — with AI agents doing real domain work at every stage.

01 · VERTICAL DEPTH

Selection, BOM, cashflow — as first-class objects.

The schema understands frames, plates, gaskets, invoice schedules, retention, and bond releases. Not text fields — primitives the AI can reason over.

02 · AI-NATIVE

Agents on every screen, doing real engineering work.

Specialised agents read documents, run engineering calculations, audit contracts, build the cashflow, draft the offer. Not a chatbot bolted on — embedded in every module.

03 · END-TO-END

One project state. Nine linked modules.

Change a plate count in selection and the BOM, schedule, cashflow, line items, and offer document all update — together. No re-keying. No drift. One source of truth.

Common questions

What buyers usually ask first.

Where does our data live?

Inside your tenant. XFlow deploys on-prem or in your private cloud (AWS, Azure, GCP). RFQs, contracts, BOMs, and pricing never leave your environment. Multi-tenant isolation by company ID enforces strict boundaries.

Which AI models do you use?

Frontier models from Anthropic, OpenAI, and Google AI — orchestrated by purpose-built engineering agents. The model layer is swappable; we use the best model for each task without locking your deployment to any single provider.

Does it replace our CRM?

Either way works. XFlow integrates cleanly with your existing CRM (Salesforce, HubSpot, Dynamics) — owning the proposal workflow while the CRM owns the customer relationship and pipeline. Or, for teams that want one system end-to-end, XFlow can ship with a complete CRM layer built in — eliminating the redundancy and the integration tax altogether.

How long to set up?

Typical: 2-3 months. Month 1 — your catalogue, materials prices, and standard T&Cs imported. Month 2 — your house template applied to the offer document, and agents tuned to your pricing rules and contract language. Month 3 — your team trained on the workflow, with the first live proposals shipped. Deeper integrations (CRM, ERP) can extend the timeline modestly.

What equipment categories do you support?

Plate heat exchangers, pumps, valves, cooling towers, radiators, compressors, pipes & tubes — and basically any standard industrial equipment. The architecture is product-agnostic; adding a new equipment family is a configuration exercise, not a code rewrite.

What does pricing look like?

Tiered by company size and module set. We'll walk through it on the demo call — every deployment is sized around your team count and quoting volume. No public price list; no surprises in the demo.

Our philosophy

Built by engineers,
for engineers.

XFlow was built by people who have lived inside the quoting process — engineering, costing, scheduling, contract review, and the cashflow modelling that determines whether a deal is worth signing. Every module exists because the quote couldn't go out without it. Every shortcut was earned, not invented.
